You need controlled data exchange through available APIs.
API integration (this service)API integration development.
Let applications exchange information reliably through an API integration.
Discuss your projectConnecting systems: where does your question start?
Your question starts with customer identity, contacts and updates between CRM and other systems.
CRM integration →You need consistent, complete and usable data from several sources for analysis.
Data integration →What is an API integration?
An API integration allows applications to exchange data or call each other's functions. It maps information, manages access and determines how failures are handled. Oxiae establishes which system owns each record and how duplicate, missing or delayed messages should be processed.
When it is a good fit
An integration can help when teams repeatedly enter the same information or systems show different versions of a record. Available access and documentation determine the technical options.
When to take a different approach
Some applications lack a suitable API or export mechanism. Building a connection before agreeing on field meanings and data ownership can spread inconsistency instead of resolving it.
An API integration needs agreements before implementation
An API integration needs more than two product names. We define objects, fields, identifiers, sync direction and error responses. Customers may have different identifiers across systems, so the integration needs an explicit way to recognize existing records and associate changes. [1]
We then define authentication, limits, pagination and temporary failure handling. Repeated requests must not unintentionally create duplicates. The integration contract also states who receives alerts and how external API schema changes are detected before data silently goes missing. [2][3]
Questions to settle first
- Which objects and fields move in which direction?
- What record volume, frequency and API limits apply?
Make acceptance measurable
- A mapping with sample records, identifiers and rejection reasons.
- Tests for expired access, pagination, rate limits and replayed processing.
Which fields move from the CRM into administration?
In this example, an approved CRM enquiry becomes a draft job in an administrative system. The field names are illustrative, not a vendor specification. The contract defines what transfers and when processing stops.
Direction CRM → administrative system; approved enquiries only
The CRM is authoritative for the enquiry, description and preferred start date. The administrative system owns its customer IDs, scheduling and invoicing status. CRM updates do not overwrite those states.
| CRM field | Destination field | Agreement |
|---|---|---|
enquiry.id | job.external_reference | Required and immutable. This source ID identifies the same enquiry on every processing attempt and is unique in the destination. |
account.customer_reference | job.customer_id | Use the agreed relationship mapping to find the existing administrative customer ID. No match or multiple matches stops processing; the integration does not create a customer based on a name. |
enquiry.description | job.description | Required text. Extra whitespace may be removed while preserving meaning. Text that exceeds the destination field is reported rather than silently truncated. |
enquiry.preferred_start_date | job.preferred_start_date | An optional calendar date in YYYY-MM-DD format. An empty value remains empty; an invalid date is not guessed or automatically corrected. |
enquiry.status | job.intake_status | Only the CRM state ‘approved’ may start a new draft job. This field describes intake; it does not confirm scheduling, execution or an invoice. |
On a narrow screen, scroll the table sideways to read each column.
What happens when the input or result is uncertain?
Missing or invalid field
No job is created. The integration retains the available enquiry reference, failure status and reason for the agreed operator. The remaining fields are not transferred as a partially valid job.
The same enquiry arrives again
The same enquiry does not become a second job. Before launch, the external reference must remain unique even when messages arrive concurrently; a lookup alone is insufficient. A changed enquiry requires a controlled update of the existing record, based on the current source version.
A timeout with an unknown outcome
A timeout does not establish that creation failed. The integration first checks the external reference to see whether the job exists. If the outcome cannot be established, it routes the item for review instead of blindly creating it again.
Approval or status changes
The current CRM enquiry is checked before processing; an old message must not reverse a newer state. Withdrawn approval blocks a new job. Changes to a job already in execution or invoicing go to review and do not overwrite its administrative status.
Compare your options
Choose based on the task, the people involved and what you can maintain.
| Approach | Useful when | What to consider |
|---|---|---|
| Scheduled synchronisation | Changes do not need to appear immediately in another system. | There is a deliberate delay between source and destination. |
| Webhooks or events | A change should trigger the next operation quickly. | Requires handling of repetition, ordering and missed events. |
| Import or export | The transfer is limited or occasional. | Less continuous automation, but sometimes sufficient for the task. |
What I need to start
- API documentation, test access and information about limits.
- Field mappings and an agreement on the source of truth.
- Failure scenarios and a clear owner for follow-up.
How to assess the result
- A repeated message does not create unwanted duplicate records.
- Failures remain traceable and can be reprocessed appropriately.
- Changes in permissions, limits or formats produce actionable signals.
What determines the cost?
A useful estimate starts with the scope. I distinguish development work from recurring usage and operating costs. These are the main drivers:
- A focused pilot: one data flow with agreed fields, source and destination, checked using available test access.
- Production operation: safe retries, source-to-destination reconciliation, monitoring and operating responsibilities.
- Endpoints, record types, synchronisation directions and the quality of API documentation.
- Data volume, any provider usage charges and maintenance when APIs or permissions change.
Your challenge.
A practical application.
A webshop or internal system needs to share data with another platform.
An API provides technical access to a system; software integrations also define which information moves, when it moves and what happens when processing fails. For customer information, CRM integration additionally defines the authoritative system and how duplicate or conflicting records are handled.
What API access, limits and data definitions are available?
Agree the first step
Use the prerequisites, acceptance checks and cost factors above to define your assignment. Agree who can approve the outcome and who will maintain the solution. The project approach explains discovery, delivery and handover.
Read the project approachYour questions.
Clear answers.
Can every application be integrated?
Not always. I check for a supported API, export mechanism or another suitable method of access. Licences, permissions, limits and provider terms may restrict the options.
What happens when an API is unavailable?
The integration should record failures and retry where appropriate. The approach depends on the operation: retrying an order, for example, must not silently create a second order.
Should data sync in both directions?
Only where the process requires it. Two-way synchronisation needs explicit rules for conflicts and ownership. A one-way flow is often sufficient for records that have a clear source of truth.

Make your request concrete
These optional fields turn the download into a brief for this service. Use general descriptions. Do not enter personal data, passwords, API keys or other secrets.
For example: form → planning, or a two-way integration between two systems.
Name field types and identifiers, such as order number, status and date.
Estimate messages per day and the busiest period; a range is enough.
For example immediately, within five minutes or once each night.
Consider retries, avoiding duplicate processing and notifying the maintainer.
