PREPARE YOUR PROJECT

What do you need before you start?

Check eight practical conditions for an AI, automation or software project. Get a next step and download your answers as a project brief.

Have you defined one specific task?

You know who does the work, its input, the required output and what is outside the first version.

Is there an owner who can make decisions?

One person knows the process, has time for questions and can review the first version.

Do you have representative examples for testing?

Include ordinary cases, exceptions and expected results. Use anonymised or synthetic examples where possible.

Have access and usage permissions been checked?

You know which systems and data are needed, who can authorise access and which actions the solution may perform.

Have you agreed how the trial will be accepted?

Define a measurable goal, such as handling time or error handling, and identify unacceptable errors.

Are human review and a fallback arranged?

You know who reviews exceptions, which actions need approval and how to return safely to the current process.

Have you capped time and budget for the first trial?

Include internal time, setup, licences, usage and reviews. Agree when to stop or continue.

Do you know who will maintain the solution afterwards?

Someone needs to monitor incidents, access permissions, source changes, costs and new versions.

YOUR PREPARATION

0 of 8 answered

Make the open questions visible.

Answer all eight questions. Choose “Not sure yet” when you need to verify something; an assumption is not a confirmed condition.

This is your own assessment, not a feasibility score. The checklist does not verify systems, permissions or legal compliance.

Answer at least one question to download a draft.

This checklist sends no answers and saves nothing. The download is created in your browser. Refreshing clears your choices. Keep confidential details out of the subject.

How this checklist works

The questions follow a preparation sequence: task, owner, examples, access, acceptance, review, budget and maintenance. After all questions are answered, the first “No” or “Not sure yet” in that order determines the suggested next step. There are no weights, percentages or automatic approval. Eight “Yes” answers lead to a trial plan, not a guarantee of results.

This is an OXIAE preparation aid based on the project approach explained in the service guides. Read the project approach.

Explore your own scenario

How much capacity could automation free up?

Change the assumptions to compare manual work with an automated workflow. Include human review, exceptions and maintenance.

All starting values are illustrative. They are not OXIAE prices, a quote or a forecast.

1. The work

Use an average monthly volume. Allowed: 0 to 1,000,000.

Total human working time, including everyone involved. Allowed: 0 to 10,080.

Include human review and average time spent on exceptions. Allowed: 0 to 10,080.

2. Costs and maintenance

Your own value for working time; not an external hourly rate. Allowed: 0 to 10,000.

For example development, testing, migration and internal implementation time. Allowed: 0 to 100,000,000.

For example software, hosting and usage. Count maintenance time separately below. Allowed: 0 to 10,000,000.

Human time spent on maintenance, checks and changes. Allowed: 0 to 10,000.

The calculation runs in your browser. No account is needed.

Scenario result

Using the illustrative values

Capacity freed up / month31.3 hours
Human working time now
50 hours
Working time afterwards, including maintenance
18.7 hours
Calculated value of freed-up time
€1,253
Recurring costs
€150
Monthly calculated balance
€1,103
First-year calculated balance
€8,240
Calculated payback period4.5 months

Freed-up time is capacity for other work. Its calculated value does not automatically reduce your spending. The balance and payback period use that value, not a forecast of cash flow.

The first year assumes 12 equal months and deducts the one-off setup cost. No ramp-up period is included.

Discuss the assumptions
Capacity freed up / month: 31.3 hours. Monthly calculated balance: €1,103.
View formulas and assumptions
  • Current time = monthly volume × current minutes ÷ 60.
  • Future time = monthly volume × future minutes ÷ 60 + maintenance hours.
  • Freed-up capacity = current time − future time.
  • Calculated value = freed-up capacity × internal hourly cost assumption.
  • Monthly calculated balance = calculated value − recurring costs.
  • Calculated payback = setup cost ÷ positive monthly calculated balance.
  • First-year calculated balance = 12 × monthly calculated balance − setup cost.

Volume and average handling time are constant throughout the year. Quality differences, growth, financing, taxes and additional revenue are not included. Test your assumptions with a small practical trial first.

METHOD AND PRIVACY

Understand what the outcome means.

These tools help you prepare a decision. Your examples, checks and a practical trial determine whether a solution works in your situation.

Checklist: a preparation order

Your answers determine which condition to clarify first. “Not sure yet” stays open. There is no expert score or automatic green light; the method is explained under the checklist.

Calculator: a scenario with assumptions

The calculator uses your own volume, time and cost assumptions. Human review and maintenance count towards future working time. Freed-up capacity is not automatically a cash saving. All formulas are available below the calculation.

Local tools and a separate AI scan

The checklist and calculator run in your browser and do not send their answers. They keep no saved project. The separate AI Quick Scan explains its data processing and asks for consent before sending your description for AI analysis.
