You first need to decide which business processes to simplify.
Business process automation →Process automation.
Make recurring processes consistent, traceable and less dependent on manual steps.
Discuss your projectWhich kind of automation fits?
Explicit rules can execute a specific workflow.
Process automation (this service)You need to select an AI task and assess its business case, including review and maintenance time.
AI automation →The task is selected; you need the fixed chain from input to system action, confirmation and recovery.
AI workflow automation →When should process automation work without AI?
Process automation executes fixed steps using explicit rules: checking fields, updating a status or assigning a task. If the same input should always produce the same result, a regular workflow is often easier to test than an AI solution. I also specify what happens with duplicate messages, missing fields and temporarily unavailable systems.
When it is a good fit
A recurring workflow has recognisable triggers, available system access and documented exceptions.
When to take a different approach
If staff disagree about the process, clarify it first. Interpreting free text may justify a bounded AI step with a separate quality evaluation.
Process automation needs explicit states
A process becomes manageable when each state has a clear meaning. I define states such as received, checked, approved and rejected, together with permitted transitions. This reduces ambiguity when one system treats a request as complete while another still considers it open. [1]
For execution, each transition specifies the input it needs and what can be repeated after failure. An event log helps locate stalled requests without unnecessarily storing complete documents or sensitive data. Employees get a specific recovery action. [2]
Questions to settle first
- Which state is authoritative when systems disagree?
- Which events must remain traceable afterwards?
Make acceptance measurable
- A checked state transition using missing and invalid input.
- Reconstruction of a sample process from protected event logs.
Compare your options
Choose based on the task, the people involved and what you can maintain.
| Approach | Useful when | What to consider |
|---|---|---|
| Rule-based workflow | The decision rules are explicit. | Predictable, but exceptions need deliberate handling. |
| AI step within a workflow | Free text requires interpretation. | Needs error tolerance and content evaluation. |
| Process redesign | Current agreements are unclear or cumbersome. | May reduce manual work before software is required. |
What I need to start
- A process map with triggers, ownership and exceptions.
- Access to test environments and sample messages.
- Agreements on duplicate inputs, recovery and manual corrections.
How to assess the result
- Repeated messages do not cause duplicate processing.
- An outage leaves outstanding tasks visible.
- Exceptions reach the right employee with enough context.
What determines the cost?
A useful estimate starts with the scope. I distinguish development work from recurring usage and operating costs. These are the main drivers:
- Number of systems, steps and exception paths.
- Reliability of APIs and test environments.
- Required feedback, monitoring and recovery controls.
Your challenge.
A practical application.
Requests are spread across spreadsheets, inboxes and separate task lists.
Defined rules and predictable input can be handled by a conventional workflow. If text or documents need interpretation, compare AI workflow automation. An n8n consultant can assess whether n8n fits the connections, error handling and maintenance that the workflow requires.
Which rules determine the next step, and when is escalation needed?
Agree the first step
Use the prerequisites, acceptance checks and cost factors above to define your assignment. Agree who can approve the outcome and who will maintain the solution. The project approach explains discovery, delivery and handover.

Clear answers.
Do we always need AI for process automation?
No. Use fixed rules when they describe the work adequately. Add AI only for a specific interpretation task and evaluate it separately.
