n8n & process automation

n8n, Make or Zapier: which fits your business process?

Compare n8n, Make and Zapier using a real workflow: supported actions, exceptions, maintenance, cost and handover. Includes a practical evaluation plan.

A platform comparison becomes useful only when the work is clearly defined. A large integration catalogue contributes little if your required action is missing or supports only some of the necessary fields. A low subscription price also says little about the full cost of implementation, checking and recovery.

This guide therefore does not name a universal winner. It explains how to assess the same assignment through different solutions while considering the people who will maintain it afterwards. Features and terms change. Confirm required actions and the appropriate plan again before committing to a particular design or supplier.

Start with a functional assignment

Describe one concrete flow: an approved form submission should become an existing or new CRM contact, an employee should receive a task, and the source should receive a processing status. Identify which steps change business data and which only read information. This prevents comparing platforms using demonstrations that do not actually complete the same assignment.

Identify difficult cases in advance. What happens if the contact exists, permission is missing or a second request arrives before the first is finished? Define an acceptable result and the information an operator needs when something fails. The comparison then concerns implementing and maintaining this assignment, rather than deciding which workflow canvas appears most attractive during a short demonstration.

Check connectors at action level

For every platform, inspect the exact trigger and action. A CRM integration does not imply support for every object, custom field or synchronisation direction. Check how pagination, search results and empty values behave. Obtain a test account and try the required fields before designing an entire architecture around an assumed connector capability.

If a generic HTTP request is needed, the maintenance requirement changes. Someone must understand authentication, data mapping and errors from the external API. This may be a sensible solution, but it differs from relying entirely on a maintained standard action. Record which parts remain visually configurable and which require technical knowledge. An accurate description helps future operators more than a broad claim that the implementation requires no code.

Examine execution and data flows

n8n supports cloud use and self-hosting options. This affects where workflows run and who maintains the installation. Hosting the workflow yourself does not automatically keep all data inside that environment: connected APIs, models and notification services create their own flows. Draw the data journey for each step, including operational logs and any failure notifications.

For every option, examine permissions and separation of environments. Can a developer work with test access without receiving production access? Who can modify connections? Available administration features depend partly on the edition or subscription selected. Name essential functions explicitly and verify them during the trial. A plan based only on a free demonstration can overlook requirements that become important when several people rely on the workflow.

For n8n, hosting is part of the comparison. Investigate who operates the environment: n8n Cloud or self-hosting: what must your business organise?.

Compare billing units on the same flow

Make describes credits as its billing unit. In ordinary Zaps, Zapier generally counts successful actions as tasks, with documented exceptions. Neither unit can simply be compared with the number of incoming business requests. Multiple actions, repetition or AI processing may change the usage associated with a request. Consult the current platform documentation for the exact calculation.

Build a usage model for a normal month and a busy month. Include searches, pagination, loops, reprocessing and supporting error paths where those activities are billable. Add external API and model costs separately only when they are not already included in platform charges. Some Make AI connections include token usage in credits; a custom provider connection may instead incur a separate provider bill. A comparison is meaningful only when the designs achieve the same final result and handle the same exceptions. Present the calculation with assumptions instead of suggesting that one universal platform price applies to every business process.

Test failure handling and safe recovery

Make the destination temporarily return an error and inspect what an operator sees. Is it clear which request is affected, which changes already succeeded and what remains incomplete? A notification saying that a workflow failed does not automatically answer those questions. Check whether one case can be investigated without sharing personal information from the entire process.

Then resume processing carefully. Replaying a complete run can create a second task, contact or message if earlier actions already succeeded. Assess whether the design can find an existing result or use a stable processing reference. A platform does not automatically supply that business design. The quality of recovery is often a better differentiator than the time required to build the first successful demonstration of the normal route.

Run a fictional trial with three requirements

A fictional service company receives forty enquiries each working day. It wants to register them, identify missing information and create a work order only after review. Its trial has three hard requirements: a duplicate request must not become a duplicate order, an incomplete request must reach an employee, and a failure must be investigable without guesswork.

Have each candidate design process the same twelve carefully chosen cases. Measure building and change effort, manual recovery steps and clarity for the operator. Then introduce a change such as a new required field. The platform that demonstrates the first version fastest may require more effort later. Conversely, a technically elaborate implementation may be unnecessary when a simpler standard route already satisfies all material requirements.

Consider the people who will maintain it

Ask who may change the workflow next month and what knowledge that person has. A team already using one platform may benefit from established accounts, maintenance arrangements and experience. That advantage has limits: a missing essential action remains missing. However, a marginal technical preference is not a sufficient reason to introduce another platform and another set of operating responsibilities.

Arrange a handover exercise. Ask someone who did not build the workflow to investigate one error and prepare a small change using only the agreed documentation. Any missing information becomes concrete delivery work. Even when a specialist continues maintaining the implementation, the organisation needs to understand what is running, who has access and how to stop the process when continuing would be inappropriate.

Discuss the exit route as well

Keep process rules, field agreements and acceptance cases outside the platform. A workflow export is useful, but does not automatically become an executable replacement with another supplier. Connectors, authentication and execution behaviour can differ. Describe which parts would need rebuilding during a move and which information is required to finish work already in progress.

Agree who owns accounts and external connections. A workflow held in the personal account of someone who has left can be operationally fragile despite a technically appropriate platform choice. Use suitable organisation accounts and document a transfer route. The best choice is the one that performs the intended flow transparently and fits the organisation’s actual capacity to keep it under control over time.

Record the choice as a decision

Finish with a short decision document: intended result, alternatives investigated, capabilities demonstrated, cost model and remaining uncertainties. Explain why an option was rejected. A missing action, an unsuitable operating pattern or total cost outside the available budget can each be a legitimate reason. Avoid categorical statements that a platform is always cheaper or suitable only for small organisations.

Ask proposals to separate implementation from recurring maintenance. Require the necessary subscription features, external costs and recovery responsibilities to be stated. This makes differences visible in the context of your own assignment. If the trial does not establish a convincing winner, first commission the investigation that resolves the most significant uncertainty rather than making a permanent choice from broad marketing comparisons.

Questions about this topic

Is n8n always cheaper?

No. Compare platform charges with hosting, maintenance, development time and external services. Self-hosting can introduce additional responsibilities. The outcome depends on the process, required features and available operating knowledge. Use representative usage and current terms rather than comparing introductory prices alone.

Can I change platforms later?

Yes, but workflows usually need adaptation. Keep rules, field agreements and test cases independently of the supplier. Check which access, data and outstanding requests are needed during a move. An export by itself is not a tested migration plan.

Do I need to test all three?

Not necessarily. A hard requirement may clearly eliminate an option before a trial. Test the remaining candidates on the uncertain and difficult parts. A focused experiment with meaningful comparison criteria is often more useful than three complete implementations of the same process.

Does an existing connector prove suitability?

No. Check the exact action, fields, permissions and boundaries used by your process. Try an empty value, an existing contact and an error response. A connector listing proves that an integration exists, not that it supports the complete assignment you intend to implement.
