How does an AI sales agent support enquiry assessment?

An AI sales agent can summarise an inbound enquiry, compare information with agreed criteria and prepare a follow-up question or draft response. Every conclusion needs a clear basis in the enquiry or an authorised source. Missing information stays unknown; conflicting wishes go back to a person. Oxiae starts with one type of enquiry and a proposed next step. The sales process defines who reviews that proposal, who may communicate and what information is then recorded in the CRM.

When it is a good fit

This fits recurring business enquiries where sales repeatedly organises the same information and asks similar questions. The team needs to explain which facts are required for a next step and who reviews exceptions. If customer information is missing between systems, a CRM integration is a separate part of the solution.

When to take a different approach

If a form with fixed fields and simple rules already supports the work well, start there. An AI sales agent cannot establish an unstated need, buying intent, budget or decision-making authority without information. For a whole chain from intake to processing, AI workflow automation has a wider scope; assessing one enquiry is one possible step within it.

PRACTICAL DECISION GUIDE

Qualify leads using information you can verify

An AI sales agent can structure a conversation, but it must separate lead-provided information from interpretation. We define which answers are stored verbatim, what qualifies a lead and where uncertainty remains visible. The agent should not invent budget, buying intent or customer consent. [1]

CRM updates and follow-up actions get explicit boundaries. We test incomplete answers, existing contacts and conflicting information. A salesperson should understand why a lead was handed over and what is still missing. Sending messages, confirming appointments and agreeing prices are assessed as separate actions. [2]

Questions to settle first

  • Which qualification criteria can a salesperson check afterwards?
  • Which CRM field is authoritative if an existing contact differs?

Make acceptance measurable

  • An assessed set of conversations that correctly records missing information.
  • A handoff with source answers, qualification rationale and a follow-up owner.

ASSESSING ENQUIRIES

Enough information, a missing fact or conflicting wishes?

These three independent fictional enquiries and drafts illustrate different assessment situations. The fictional supplier explores software for maintenance planning and handover between planners and field staff. The examples explain choices; they are not a working AI, customer case or test of CRM or sending permissions.

Agreed criteria

  • For these examples, the first discussion concerns maintenance planning and job handover between planners and field staff.
  • To propose that discussion, the current work, involved teams and desired improvement need to be sufficiently clear. This says nothing yet about budget, decision-making authority or a future contract.
  • Missing information requires a focused follow-up question. Conflicting wishes require clarification. Neither is an automatic rejection.
  • The outcome is a proposal for sales. A person reviews it and separately authorises communication or a CRM change; the model does not assign a customer status.

Enough for a proposal

Request

We schedule maintenance visits for business customers. Planners and field staff currently work in separate lists. We want one overview for handing over jobs and would first like to discuss our current process.

Known from the request

  • The enquiry mentions maintenance visits for business customers.
  • According to the enquiry, planners and field staff work in separate lists.
  • The sender wants to improve handover and first discuss the current process.

Still unknown

  • The applications used, scale and specific exceptions are not stated.
  • Budget and decision-making authority are unknown; the request does not establish willingness to buy.

Proposed next step

Present a proposed exploratory process discussion to sales. There is enough information for that review, not for a quotation, a promised solution or an automatic CRM status.

Unsent draft

Thank you for explaining. You describe handover between planners and field staff using separate lists. An initial discussion could explore the current process. Which applications do both teams use, and where does the handover currently go wrong?

First ask for missing information

Request

We want to improve our maintenance planning. How could you help?

Known from the request

  • The enquiry concerns a desired improvement to maintenance planning.

Still unknown

  • The enquiry does not state which teams are involved or how the work currently happens.
  • The specific problem and any handover between planners and field staff are unknown.

Proposed next step

Prepare a focused clarification question for sales to review. The request lacks information for the agreed first discussion; unknown does not mean unsuitable or rejected here.

Unsent draft

You would like to improve your maintenance planning. Which recurring problem do you want to solve, and which teams are involved? Are jobs handed over between teams, and if so, how does that work today?

Clarify conflicting wishes

Request

We plan maintenance jobs for business customers and want them allocated to technicians automatically. The planner must approve every allocation beforehand, but the system must allocate jobs immediately without approval.

Known from the request

  • The enquiry mentions maintenance jobs for business customers and allocating them to technicians.
  • It asks both for the planner's prior approval and for immediate allocation without approval.

Still unknown

  • It is unclear whether the intended behaviour is automatically proposing an allocation or immediately making it final.
  • Which step requires approval and who decides this have not been established.

Proposed next step

Flag the conflict for sales and ask what should count as a proposal and what should count as a final allocation. Do not select one wish or overwrite an existing CRM agreement.

Unsent draft

You mention both the planner's prior approval and immediate allocation without approval. Do you mean that the system proposes an allocation for the planner to confirm, or that certain jobs are allocated directly? Who determines when each route may be used?

What to check

  • Can you find every stated observation in the enquiry without adding a budget, buying intent or decision?
  • Do missing and conflicting facts remain recognisable when the next step is proposed?
  • Is it clear to the reviewer that a draft is not a sent message and a proposal is not a changed CRM status?

Compare your options

Choose based on the task, the people involved and what you can maintain.

ApproachUseful whenWhat to consider
A form and fixed rulesThe required information and follow-up choices are clear in advance and fit into fixed fields.Limit input to what sales actually needs. Incomplete or unusual enquiries must have a route to a person.
Sales preparation with AIEnquiries arrive as free text and repeatedly need summarising, clarification and draft follow-up.A proposal stays separate from the commercial decision. Missing information and uncertainty must remain visible to the reviewer.
An agent with system actionsAn approved next step also needs to be carried out in existing applications.AI agent development designs permitted actions, permissions and checks separately. Access to customer information does not authorise sending messages or changing customer statuses.

What I need to start

  • One bounded type of inbound enquiry, documented criteria and the information actually needed for each next step. Define when the outcome is unknown or requires clarification.
  • Representative, authorised example enquiries reviewed by sales: what does the text support, what is missing and which next step is appropriate? Include conflicting wishes and unusual requests.
  • An agreed source selection and a data owner. Decide which enquiry and customer information may be read, which source is authoritative and how facts, sources and proposals remain distinguishable.
  • A named reviewer and separate rules for drafting, sending and CRM changes. Have the application check approved fields and actions; a model instruction is not access control.
  • An overview of enquiries, reviews, exceptions and owners. A dashboard can support daily follow-up if a simple work list is insufficient.

How to assess the result

  • Have sales assess a representative enquiry set. For each proposed fact and next step, compare whether the source supports it; a convincingly written summary is insufficient.
  • A missing fact is treated as neither a rejection reason nor a positive answer. Conflicting wishes stay visible and lead to clarification, without inventing a preference or commitment.
  • The reviewer can inspect and correct the enquiry, relevant source information, unknown facts and draft side by side. A proposed qualification does not replace an existing authoritative CRM status.
  • A draft message cannot be sent unnoticed. Test that sending and CRM changes happen only after the agreed human review and authorization, with the right permissions and a verifiable outcome.
  • Measure corrections, missed relevant information and complete handling time, including review and exceptions. Compare with the current process before deciding whether the support is useful. This does not by itself demonstrate additional revenue.
SCOPE & INVESTMENT

What determines the cost?

A useful estimate starts with the scope. I distinguish development work from recurring usage and operating costs. These are the main drivers:

  • An initial pilot: one enquiry type, a limited source selection, agreed criteria and drafts offered only for review.
  • Variation in free text, required customer context and the size of the assessment set. Preparation and human review are part of the effort.
  • Production: sign-in, permissions, any CRM processing and sending with authorization, error handling and handover to the responsible staff. Agree separately which system actions are needed.
  • Recurring model usage, licences, hosting, maintenance and updates to criteria and examples. Assess these alongside review time and the value of the supported task; a time calculation is not a revenue forecast.
APPLICATION AND SCOPE

Your challenge.
A practical application.

Illustrative scenario; not a published client case.

Sales repeatedly gathers prospect information and updates records after calls.

For preparation and follow-up, a sales agent needs current customer and contact information; a CRM integration defines where that information comes from and where updates go. A dashboard can show review statuses and exceptions, without allowing the agent to make commercial commitments independently.

THE QUESTION I ASK FIRST

Which sources can be used, and which communications need approval first?

Agree the first step

Use the prerequisites, acceptance checks and cost factors above to define your assignment. Agree who can approve the outcome and who will maintain the solution. The project approach explains discovery, delivery and handover.

QUESTIONS ABOUT THIS SERVICE

Your questions.
Clear answers.

Can an AI sales agent automatically accept or reject leads?

Start with a proposal against explicit criteria that sales can check. Missing information is not a negative answer, and a relevant topic does not establish willingness to buy. If you later want to automate fixed decision rules, those rules, exceptions, permissions and the route to human review must be designed and tested separately.

Does the agent send sales messages independently?

The initial scope on this page prepares drafts. A person checks the source, content, recipient and desired next step and explicitly authorises sending. Any sending channel needs its own setup and permission checks; a generated draft is not authorization to contact someone.

Does an AI sales agent replace my CRM?

No. The CRM remains the agreed place for customer information and the authoritative status. The agent can summarise information and propose changes for review. Which fields may change, which system is authoritative and how to prevent duplicate or uncertain updates belong to the integration design.

How do we decide whether this sales support is worthwhile?

Compare a bounded enquiry set with the current process. Assess accuracy, missing information, necessary corrections and total handling time, including review and exceptions. Do not use the number of generated drafts as evidence of better lead quality or additional revenue. Use that comparison to decide which task remains useful and which does not yet work.
