OXIAE / INTEGRATIONS & DATA

CRM integration with your business software.

Connect your CRM to the systems where customer information is created and used.

Discuss your project

Connecting systems: where does your question start?

Your question starts with customer identity, contacts and updates between CRM and other systems.

CRM integration (this service)

You need consistent, complete and usable data from several sources for analysis.

Data integration →
UNDERSTAND THE SERVICE

How do you connect a CRM without conflicting customer data?

CRM integration exchanges contacts, organisations and activities with other business systems. The design must establish which records refer to the same relationship and which system owns each field. For example, the CRM may own the account manager while accounting owns invoicing details. Stable source IDs and a relationship mapping connect records; a name or email address alone is not a safe merge rule. An API integration can implement the agreed data flows.

When it is a good fit

This fits when sales lacks customer information held in forms, administration or support, or staff enter updates manually in several applications. Start with one transfer that solves a specific working problem.

When to take a different approach

Custom development is not automatically needed if CRM configuration or an existing connector is sufficient. Existing duplicates and unclear definitions require data correction first. Making several sources usable together may be better addressed through data integration.

PRACTICAL DECISION GUIDE

CRM integration starts with identity and field ownership

A CRM integration must first establish whether a contact, organization or request already exists. Comparing names alone is often insufficient. We define identification and duplicate rules and assign ownership of fields such as contact details, sales stage and billing information. [1]

We then test merged contacts, changed email addresses and missing mandatory fields. The connection gets restricted permissions and a recovery queue. An employee can correct a rejected record without restarting the complete synchronization or creating another customer. [2][3]

Questions to settle first

  • Which identifier remains useful after a name or email changes?
  • Who owns each field: CRM, ERP, form or accounting?

Make acceptance measurable

  • A field and record ownership map with identity and duplicate rules.
  • Reconciliation of created, changed, merged and rejected records.

Compare your options

Choose based on the task, the people involved and what you can maintain.

ApproachUseful whenWhat to consider
Configure the CRMThe required fields, rules or standard connector already exist.Check whether permissions, exceptions and logs support the required behaviour.
Build a CRM integrationCustomer information needs controlled updates between separate applications.Field ownership determines direction; two-way synchronisation requires conflict and loop prevention.
Correct or migrate dataExisting relationships are duplicated, incorrectly linked or need a one-off transfer.Merging and historical migration are separate tasks; new synchronisation does not automatically repair existing data.

What I need to start

  • Separate definitions and stable IDs for people, organisations and their relationships, with rules for shared email addresses and changed contact details.
  • Field mappings with the authoritative system, permitted direction and rules for creation, status changes, archiving and deletion.
  • Visibility into existing duplicates and history. Any migration needs its own source selection, validation and recovery plan.
  • Test access and appropriate permissions, a human data owner for ambiguous records and an operator responsible for failures and restarts.

How to assess the result

  • A new relationship receives the correct source-to-destination mapping; ambiguous matches go to review instead of automatic merging.
  • Repeated and concurrent messages do not create duplicate relationships. A changed email address does not silently change identity.
  • Only the agreed source changes an owned field. Old events do not reverse newer statuses, and updates do not circulate in a loop.
  • Archiving and deletion follow agreed rules without accidentally removing invoices, history or other contacts.
  • After an outage, processed and unprocessed work remain visible. A restart checks the destination before repeating work; uncertain outcomes have an owner.
SCOPE & INVESTMENT

What determines the cost?

A useful estimate starts with the scope. I distinguish development work from recurring usage and operating costs. These are the main drivers:

  • A focused pilot: one relationship or activity flow, agreed fields and representative test records, without unspecified historical cleanup.
  • Production: additional flows and exceptions, permissions, monitoring, source-to-destination reconciliation, documentation and operational handover.
  • Existing duplicates, migration volume and manual review are estimated separately. Licences, API limits, hosting and maintenance determine recurring costs.
APPLICATION AND SCOPE

Your challenge.
A practical application.

Illustrative scenario; not a published client case.

Sales cannot see requests, orders or support questions arriving elsewhere.

A CRM connection is a focused form of software integration: customer and contact information must be updated in the right place. An AI sales agent can then use that information for defined preparation or follow-up tasks. The integration itself does not make commercial decisions or replace permission to communicate.

THE QUESTION I ASK FIRST

Which data needs one-way or two-way synchronisation?

Agree the first step

Use the prerequisites, acceptance checks and cost factors above to define your assignment. Agree who can approve the outcome and who will maintain the solution. The project approach explains discovery, delivery and handover.

QUESTIONS ABOUT THIS SERVICE

Your questions.
Clear answers.

Can our existing CRM connect to accounting software or an ERP?

That depends on supported access, licences and the required data. I first check whether an existing connector supports the fields, direction and error handling. We then establish which additional integration is needed.

Do we need to replace our CRM to connect systems?

Not if the current environment provides the required capabilities and access. Configuration or a focused integration may be sufficient. If a replacement is needed, migration, historical data and continuity receive their own scope.

Will the project also resolve our existing duplicate contacts?

Only if explicitly included in the agreed scope. Synchronisation should prevent new duplicates; merging existing records requires decision rules, preserved relationships and review by a data owner. I separate those tasks in the proposal.

What is handed over, and who operates the CRM integration?

The agreed deliverables include field mappings, identity and status rules, test results and instructions for failures and recovery. We define who maintains access, responds to alerts and approves changes. Hosting, support and response times are agreed separately.
