You first need to decide which business processes to simplify.
Business process automation →AI automation.
Run repetitive tasks through workflows that fit your existing systems.
Discuss your projectWhich kind of automation fits?
Explicit rules can execute a specific workflow.
Process automation →You need to select an AI task and assess its business case, including review and maintenance time.
AI automation (this service)The task is selected; you need the fixed chain from input to system action, confirmation and recovery.
AI workflow automation →What is AI automation?
AI automation combines defined process steps with AI for tasks that require interpretation, such as classifying an email or extracting information from a document. Rules determine what happens next. Oxiae designs the complete workflow, including system connections, output checks and a route for cases that need human review.
When it is a good fit
A useful first task is recurring, has recognisable input and a clear desired outcome. For example, categorising incoming requests before assigning them to the right team.
When to take a different approach
If all decisions can be expressed as reliable rules, conventional automation may be more appropriate. AI is also a poor first step if errors cannot be detected or handled safely.
Which parts of the work should AI handle?
For AI automation, I split a task into reading, interpreting, checking and executing. Interpreting an open-ended email may call for AI, while calculations and mandatory field checks can use deterministic rules. Each system change gets only the authority it actually requires. [1]
The workflow then needs paths for uncertainty, invalid input and temporary failures. An error must reach someone who can act. Reprocessing is designed so that resubmitting a request does not unintentionally create another order, customer or payment. [2][3]
Questions to settle first
- Where is interpretation needed, and where are rules sufficient?
- Which change must never be executed twice?
Make acceptance measurable
- A test showing that uncertain input reaches a human reviewer.
- A replay and failure test checking for duplicate processing.
Compare your options
Choose based on the task, the people involved and what you can maintain.
| Approach | Useful when | What to consider |
|---|---|---|
| Rule-based automation | Inputs and decisions follow predictable rules. | Easy to explain, but less suited to interpreting unstructured text. |
| AI in a workflow | A defined step involves interpretation or summarisation. | Requires quality checks and a route for uncertain outputs. |
| AI agent | The next action depends on findings made during the task. | Greater flexibility requires tighter permissions and monitoring. |
What I need to start
- Examples of normal and unusual inputs.
- A clear owner for exceptions and errors.
- Access to the applications that receive input and process results.
How to assess the result
- Measure total handling time, including human review and rework.
- Test missing data, repeated input and connection failures.
- Check that invalid results are stopped before changing another system.
What determines the cost?
A useful estimate starts with the scope. I distinguish development work from recurring usage and operating costs. These are the main drivers:
- Number of steps, exceptions and system integrations.
- Volume and size of documents or messages.
- Model usage, hosting, monitoring and ongoing evaluation.
How much capacity could automation free up?
Change the assumptions to compare manual work with an automated workflow. Include human review, exceptions and maintenance.
All starting values are illustrative. They are not OXIAE prices, a quote or a forecast.
The calculation runs in your browser. No account is needed.
Scenario result
Using the illustrative values
- Human working time now
- 50 hours
- Working time afterwards, including maintenance
- 18.7 hours
- Calculated value of freed-up time
- €1,253
- Recurring costs
- €150
- Monthly calculated balance
- €1,103
- First-year calculated balance
- €8,240
Freed-up time is capacity for other work. Its calculated value does not automatically reduce your spending. The balance and payback period use that value, not a forecast of cash flow.
The first year assumes 12 equal months and deducts the one-off setup cost. No ramp-up period is included.
Discuss the assumptionsView formulas and assumptions
- Current time = monthly volume × current minutes ÷ 60.
- Future time = monthly volume × future minutes ÷ 60 + maintenance hours.
- Freed-up capacity = current time − future time.
- Calculated value = freed-up capacity × internal hourly cost assumption.
- Monthly calculated balance = calculated value − recurring costs.
- Calculated payback = setup cost ÷ positive monthly calculated balance.
- First-year calculated balance = 12 × monthly calculated balance − setup cost.
Volume and average handling time are constant throughout the year. Quality differences, growth, financing, taxes and additional revenue are not included. Test your assumptions with a small practical trial first.
Your challenge.
A practical application.
Information is repeatedly extracted from emails and retyped into business software.
Business process automation starts with the handoffs and responsibilities across a complete process. AI workflow automation then focuses on steps that require interpretation, such as classifying a message before a defined next action is carried out.
Which steps are predictable, and where should a person keep deciding?
Agree the first step
Use the prerequisites, acceptance checks and cost factors above to define your assignment. Agree who can approve the outcome and who will maintain the solution. The project approach explains discovery, delivery and handover.
Read the project approachYour questions.
Clear answers.
Does an AI workflow need to run independently?
No. AI can prepare information while a person approves it before a record changes or a message is sent. The appropriate level of independence depends on the task and the consequences of errors.
How do you measure time savings?
Establish the current handling time and error rate, then compare the new process including checks, rework and maintenance. A faster model response alone does not demonstrate a better business process.
Can existing systems stay in place?
I first review their available integrations and limitations. A focused connection or workflow may be sufficient without replacing the applications your team already uses.
